EUVAT1 has not appointed a DPO because we do not meet the statutory criteria, but our privacy compliance is managed directly by our management team at info@euvat1.com.

EUVAT1 processes your personal data because you use our services, fill out our forms, or contact us directly. This may include:

• General data: first and last name, postal address, email address and/or phone number.
• Technical data: IP address, internet browser, type of device, browsing behavior on our website and/or location data.
• Other personal data that the customer actively provides to us, for example in correspondence or via telephone.

Our website and/or service does not have the intention to collect data about website visitors below the age of 16, unless they have attained permission from their parents or guardians. However, we cannot check if a visitor is older than the age of 16. We recommend parents to be involved with the online activities of their children, to prevent that data of children can be collected without parental permission. If you are convinced that we collected personal data of a minor without parental permission, please contact us via info@euvat1.com. We will delete this information.

We process your personal data for the following legitimate purposes:

• To deliver goods or services you have purchased;
• To process payments and fulfill financial obligations;
• To send newsletters, marketing materials, or respond to your inquiries;
• To inform you about changes to our services;
• To analyze your behavior on the website and improve the website;
• To tailor our services to your preferences.

EUVAT1 doesn’t use automated decision making.

Under the GDPR, we must have a valid legal basis for processing your data. We rely on:

• Consent: you have actively given us permission to process your data.
• Agreement: processing is necessary to fulfill a contract with you.
• Legal obligation: we are required to process data to comply with Dutch or European law.

EUVAT1 doesn’t store your personal data for longer than is strictly necessary to realize the goals for which your data is collected. However, we must store certain data to satisfy strict legal obligations under the Dutch General Tax Act. We apply the following retention periods:

• General Consultancy Agreements: personal data collected during one-off consultancy projects or general inquiries is retained for 5 years after the conclusion of the service. This aligns with the standard Dutch civil statute of limitations for contractual claims.
• VAT registration and compliance records: basic business administration records, contract data, and transaction information used to complete VAT filings must be legally retained for a minimum of 7 years under Dutch tax law. This period starts from the end of the calendar year in which the relevant service was rendered.
• General fiscal representation data: when acting as your General Fiscal Representative, our firm faces joint and several liability for tax debts. Because the Dutch Tax Administration (Belastingdienst) can issue retroactive assessments for foreign tax matters for up to 12 years, we retain complete representation files, import documentation and Article 23 clearance records for up to 10 to 12 years after the termination of the representation contract.

We do not sell your personal data. We only share your personal data with third parties if it is necessary for executing our agreement with you or to comply with any legal obligations. We enter into a data processing agreement with companies that process your data on our behalf to ensure the same level of security and confidentiality for your data. EUVAT1 remains responsible for these processing activities. In addition, EUVAT1 may disclose your personal data to other third parties. We do so only with your explicit consent.

To perform our contractual duties as your tax partner and fiscal representative, we share necessary data with the following specific categories of recipients:

• Tax and customs authorities: we share client data directly with the Dutch Tax and Customs Administrations (Belastingdienst) to process your VAT registrations, file tax returns or represent your business during tax audits.
• Customs brokers and freight forwarders: for clients utilizing our fiscal representation services for imports, we share data with authorized customs brokers to facilitate seamless clearance and Article 23 deferments.
• Secure cloud and software providers: your data is securely stored and processed within dedicated compliance applications such as our ERP system, secure Dutch cloud hosting providers, and tax preparation software.
• Financial institutions: we share essential details with our banking partners to manage cross-border retainer fees, security deposits, or bank guarantees required for general fiscal representation.

EUVAT1 uses functional, analytical, and tracking cookies. A cookie is a small text file that is stored in the browser of your computer, tablet, or smartphone when you first visit this website. EUVAT1 uses cookies with a purely technical function. These ensure that the website works properly and that, for example, your preferences are remembered. To ensure your identity, we may ask for additional information to verify you. We may ask that you include a copy of your ID with the request. In this copy, please black out your passport photo, MRZ (machine-readable zone, the strip of numbers at the bottom of the passport), passport number, and Citizen Service Number (BSN). This is to protect your privacy. We will respond to your request as soon as possible, but no later than four weeks.
